View, Search, and Download Invoices

The Invoices page provides a complete, organized history of your Trimlink payments and billing records. From this centralized hub, you can review your financial history, search for specific transactions, filter records by date, and download official PDF invoices for your accounting or tax purposes.

Maintaining accurate invoice records helps simplify your financial reporting and keeps your subscription management highly organized.


Phase 1: Open the Invoices Page

Your complete billing history is securely stored and easily accessible from your account sidebar.

How to Access Your Invoices

  1. Sign in to your Trimlink Dashboard.
  2. Navigate to the left sidebar and click on Billing.
  3. Select Invoices from the expanded menu.

The page will load a complete table displaying all invoices generated for your Trimlink account.

Note: Make sure you have the Super Admin role or specific billing permissions assigned to your account, otherwise you will not be able to access or edit these details.


Phase 2: Search and Filter Invoices

As your subscription history grows over time, you can quickly locate specific billing records using our built-in search and filtering tools.

Search Invoices

Use the Search bar at the top of the table to find exact matches. You can search using information such as:

  • Invoice Number (e.g., INV-2026-001)
  • Billing Reference numbers
  • Specific transaction details

Filter by Payment Status

Use the Status dropdown to display invoices based on their current payment phase. Available statuses include:

  • Paid: The transaction was successful.
  • Pending: The payment is currently being processed.
  • Failed: The payment method was declined or expired.
  • Refunded: The transaction was successfully reversed.

Filter by Billing Type

Use the Billing Type filter to narrow your view by category. This is highly useful when you need to separate recurring monthly subscriptions from one-time purchases or upgrades.

Filter by Date Range

Select a Date Range to only show invoices generated during a specific time period. This is the best way to prepare your monthly, quarterly, or annual financial reports.

Navigation Tip: Click the Reset button at any time to clear all your applied filters and return to your complete, unfiltered invoice history.


Phase 3: Review Invoice Information

Before downloading, you can view the specific details of any individual invoice. Depending on your subscription plan, the invoice details will include:

  • Invoice Number & Date
  • Payment Status
  • Billing Amount & Currency
  • Payment Method Used (e.g., Visa ending in 1234)
  • Billing Period
  • Transaction Reference ID

Review these details on your screen to ensure everything is correct before sharing the file with your accounting team.


Phase 4: Download an Invoice

You can securely download your official invoices at any time for offline record-keeping, expense reimbursement, or tax reporting.

How to Download a PDF Invoice

  1. Locate the specific invoice you want to download from the list.
  2. Click the Download (or PDF) button next to the record.
  3. Trimlink will instantly generate and save the official PDF file to your computer.

Critical Accounting Note: Downloaded PDF invoices act as official tax documents. Because they are legally binding financial records, past invoices cannot be edited, altered, or deleted once they are generated.


Invoice Best Practices

To keep your company's financial records perfectly organized, we recommend following these standard accounting best practices:

  • Download Important Records: Save copies of your invoices to a secure internal drive for offline backup and compliance.
  • Verify Payment Statuses: After a subscription renewal date passes, quickly check your Invoices tab to ensure the payment status shows as "Paid" to avoid service interruptions.
  • Use Filters for Tax Season: Use the Date Range filter to quickly isolate and download an entire year's worth of invoices for your accountant.
  • Review History Regularly: Periodically check your invoice history to track your spending and identify any unexpected plan upgrades.
