Manage Member Accounts
The Members dashboard is your centralized command center for team security. It provides administrators with a high-level view to monitor user accounts, enforce security protocols, and manage access across the entire Organization.
From this page, you can quickly audit your team, force Two-Factor Authentication (2FA), suspend users who are on leave, and permanently remove former employees.
Getting Started
To access your team management dashboard:
- Open your Dashboard.
- Navigate to Access Control from the left sidebar menu.
- Click on Members.
The screen will load a complete list of every user currently registered inside your Organization.
Phase 1: The Members Dashboard
The main table provides a complete, at-a-glance overview of your team. Without clicking into individual profiles, you can review:
- Member Name & Email: The user's core identity.
- Assigned Role: Identifies if they are a standard Member or a highly privileged Super Admin.
- Assigned Group: Shows which department or team they belong to.
- 2FA Status: Instantly see if their account is secured with Two-Factor Authentication.
- Account Status: See who is currently Active and who is Inactive (suspended).
Phase 2: Search & Filter (Auditing)
As your Organization grows, finding a specific user in a list of hundreds can be difficult. Trimlink provides powerful tools to help you audit your team quickly.
Search for a Specific User
Use the search bar located just above the Members table. You can type in a user's Name or Email Address, and the list will instantly update to show only matching results.
Filter by Categories
Use the dropdown filters to audit specific segments of your team:
- By Role: Filter to see only your Super Admins to ensure no unauthorized users have global access.
- By Status: Filter to see all Inactive users to review who is currently locked out of the system.
- By Group: Filter to see everyone in a specific department, such as the Marketing Team.
Phase 3: Enforce Two-Factor Authentication (2FA)
Two-Factor Authentication (2FA) adds a critical layer of protection. When enabled, a hacker cannot access the account even if they steal the user's password.
How to Force 2FA
- Locate the member in the listing.
- Find the 2FA toggle switch in their row.
- Click to turn the toggle ON.
Result: The very next time this member attempts to log in, the system will block them and force them to set up 2FA using a mobile authenticator app.
Security Recommendation: We strongly recommend turning on 2FA for all Super Admin accounts. Because these users have the power to delete data and change billing, their accounts must be heavily protected.
Phase 4: Suspend an Account (Inactive Status)
If an employee goes on extended leave, or if you suspect an account has been compromised, you can lock them out immediately without deleting their history.
- Locate the member in the listing.
- Click the Status dropdown in their row.
- Change the status from Active to Inactive.
The update takes effect instantly. The user will be immediately logged out and blocked from signing back in until you change their status back to Active.
Phase 5: Permanently Delete a Member
When an employee leaves the company or a contractor finishes their project, you should permanently remove their account to keep your Organization secure.
- Locate the member in the listing.
- Click the Delete button (trash can icon).
- Review the warning message in the pop-up box.
- Confirm the deletion.
Critical Data Safety Note: Deleting a user does not delete the links they created. All Short Links, Collections, and Landing Pages belong to the Organization, not the individual. Deleting a member simply destroys their login credentials and personal profile. The action cannot be undone.

- Inactive members are immediately locked out. They cannot sign in or access any resources within the Organization until an administrator changes their status back to Active.
- No. Changing a member's status to Inactive only suspends their access. Their account history and profile information remain safely stored.
- Yes. Administrators can enforce Two-Factor Authentication (2FA) directly from the Members listing page. The user will be required to set it up on their next login.
- Do not worry, your data is safe. Short links, collections, and landing pages belong to the Organization, not the individual user. Deleting a member only removes their login access; it does not delete the assets they built.
- Yes. Administrators can permanently delete member accounts when their access is no longer required, such as when an employee leaves the company.
